EMAIL GUIDELINES FOR MAILCHIMP CAMPAIGNS
To ensure the success of your email campaigns using Mailchimp, we have established a set of guidelines to streamline the process. Here's what you need to know:
- Mailchimp Training: Before diving into your email campaign, every team member must undergo Mailchimp training. We offer a variety of training sessions tailored to different skill levels. To access these valuable resources, click on the following links:
- Annual Re-Certification: There will be an annual re-certification process where Mailchimp users will need to complete a refresher training and assessment to maintain access.

- List Request from CMT: Once you've completed your training, the next step is to request a mailing list through our Constituent Management Team (CMT). To initiate this process, please fill out the TFS Request Form, accessible here. This step is crucial to maintaining accurate and compliant recipient lists.
- Managerial Review: Before submitting your email to CMT, it's essential to have your manager review the content. Your manager's sign-off is required before CMT will proceed with sending the email. This ensures that all communications align with our organizational goals and standards.
- Acknowledgment: When your manager reviews and approves the email, they must acknowledge the completion of the review process. This acknowledgment is mandatory before CMT can send out your email.

My email formatting looks off in the test. Did something go wrong?
Depending on the browser (Chrome, Safari, etc.) being used and if viewed on the Outlook or Mail app, the formatting can be altered. If this happens, be sure to test in various formats to make sure that it looks right overall.

My email is ready and it’s late from the intended deadline, can it go out now?
Assuming the email went through the necessary steps for review and QA on the query by CMT has passed yes, the email can go out immediately. We do recommend scheduling the email at least 15 minutes from then to account for any last minute changes. The campaign can be paused and edited, then resumed to go out again by CMT.

Once the email goes out, can I make changes or stop it from going out?
Unfortunately, once the email is in the process of being sent it cannot be paused or altered. Please be sure that everything looks good in test before it goes out. A paused campaign can be edited, an outgoing email cannot.

I would like to send an email to everyone on campus, is that possible?
Due to policy standards stated in the Email Distribution, we cannot send an email to everyone on campus. We can send to a modified audience (ie. Students and staff of a particular college). If you would like to contact the full campus, please reach out to Scotmail.

Someone in the list I provided was not emailed the content. Did something go wrong?
When we are given a list of emails to contact, we compare their email to the database and flag anyone who has relevant contact restrictions and remove them from the import into MailChimp. Mailchimp will also further remove people based on who unsubscribed, had and email bounce, had a syntax error, or other relevant contact restrictions.

How can I send the email to someone who did not get it?
If your audience has people that you would like to contact we recommend that you seed yourself in the list. You can then contact anyone who was missed or removed from the email at your discretion. Please let CMT know about providing a full list of removed people from the email.

I do not have access to Mailchimp. How do I request access?
Prior to requesting access, you must first:
- Watch the recorded training video for Authors (most users will need this) or Managers.
- View all resources on the Email Guidelines for Mailchimp Campaigns web page.
- Complete Certification for Authors or Managers assessment:

Then, submit a “General Support” TFS ticket requesting access and upload a screen shot or copy of completed assessment with score of 80% (8/10) or better.

Does the manager or second reviewer need to have the Manager role in Mailchimp and does this user have to complete the Mailchimp training for Managers?
The second reviewer checking content does not necessarily need to have access to Mailchimp and certainly not the manager role in Mailchimp. If the content is approved via test email, you can just upload the test email approval to the TFS ticket that gets submitted and that is the CMT’s confirmation that there has been a second pair of eyes on the content. As a reminder, the content creator/author is responsible for the content along with your manager and/or second reviewer. The second person in your unit who is helping assist with content QA does not necessarily need to have the Manager role in Mailchimp, they do not need to watch the manager video, or take the manager assessment. The CMT team will continue to support the units with curating the list, adding the population, and scheduling the email once we get confirmation that the content is approved and there is an agreed upon send date/time.
NOTE: The Manager access in Mailchimp is only given to select users who have completed the training and have a business need to have this access to do their day-to-day work.

How do I confirm that the certification was complete?

I have an email account not tied to @ucr.edu, how do I get access to complete Mailchimp certification?
Email the Mailchimp QA Committee at advancementservices@ucr.edu for access if you are completing certification with an external email or M365 Office account.
